Conference bookings terms and conditions

Day package - from £33.00/person

Includes

  • Use of the meeting room from 8.30am to 9.00pm (exact times required at the time of booking)
  • Use of flip chart, pens, wide screen, cables, WiFi etc.
  • Morning and afternoon refreshments.
  • Lunch  - option to be chosen at the time of booking.

Size and use of the meeting rooms

The Conference Room holds up to 30 people (Maximum 16 if board room style).

The Garden Room holds up to 16 participants. No tables or boardroom style available.

If the Garden Room is required as a breakout room, it is charged on an hourly basis at the point of making the reservation.

The group cannot spread out to other public rooms and lounges in the building.

Conference Times

We need to know the conference schedule, times of start, finish, refreshments and lunch time at least 2 weeks before the conference.

The meeting room cannot be used outside the booked hours.

Dietary Requirements

We need to know the chosen lunch option at the time of booking.

We also need to know about any dietary requirements (with names) 2 weeks prior to arrival. After this date we might not be able to fulfil any dietary requests. It is the group leader’s responsibility to ask the participants and inform us about any dietary needs.

Deposit 

We shall require a non-refundable £100.00 deposit/conference days.

Payment

If the meeting room is booked alongside accommodation Group Bookings Terms and Conditions  apply regarding the payment.

If the meeting room is booked without accommodation: We take £100 non-refundable deposit per conference day at the time of booking. If a second room is required as a break out room, it is charged on an hourly basis at the point of booking.

Payment can be made by credit/debit card. We accept the following cards: MasterCard, Maestro, Visa and Visa Debit. We are not able to accept Amex/Diners.

After receiving the deposit we will send a confirmation with the invoice showing the paid amount. If you find that any detail in the confirmation is incorrect you must notify us without any delay.

We ask that the final balance to be settled 30 days prior to the conference.

Cancellation Terms

If there are any cancellations within 30 days, no refund is given. If your travel arrangements are delayed or cancelled - in this situation you will need to seek compensation via your insurance.

Parking

If you arrive by car you will need a Parking Permit to park on the street. This can be provided upon your arrival, we ask for £20 refundable deposit (in cash/per vehicle). It is the group leader’s responsibility to let the participants know about the parking conditions.

Evening Meal

Can be provided for an additional cost per person; this is served at 6.00pm in the dining room. (Subject to availability, please indicate at the time of booking)

 When groups have finished using the facilities we ask that they leave the room and furniture in a tidy state.

Disclaimer

It should be noted that The Highbury Centre does not have public liability insurance against claims of personal liability or damage caused through negligence during a hiring event. We require that you obtain such insurance before using these premises. 

Save for death or personal injury resulting from its or its employees’ or agents’ negligence or wilful default, The Highbury Centre accept no liability for any death or injury to any persons attending functions or for any loss or damage to any property belonging to such persons. The Highbury Centre also accepts no responsibility for injury to people attending the function nor for any items brought into the premises.

Furthermore, organisations are responsible for conducting their own Risk Assessments before using the premises, since hirers are responsible for any accident or injury arising out of the activity for which they have booked the premises. It is the responsibility of the hirer to ensure that the premises are safe for the purposes for which they intend to use them.

General

All guests are to show respect for the Protestant Evangelical faith and ethos. To protect the Centre's ethos, the management may decline requests to stay at The Highbury Centre from individuals or groups where there is reason to anticipate they may not show such respect.

THC has the right to alter or cancel any booking that it cannot keep for reasons beyond its control. If this happens, THC will use all reasonable efforts to offer you an alternative booking, but is not liable for any losses or damages arising directly or indirectly form such circumstances.

This contract shall be governed by the laws of England and Wales. No failure or delay by us in exercising any of our rights under this contract shall be deemed by a waiver of that right. The provisions of these terms and conditions are severable and distinct from one another, and, if at any time any provision is or becomes invalid, illegal or unenforceable, the validity, legality or enforceability of the provisions shall not be in any way be affected or impaired.
